PRIVACY POLICY
Young’s Business College is committed to ensuring privacy. The privacy of your personal information is important to YBC. YBC is committed to respecting your right of privacy and protecting your personal information. YBC is bound by the National Privacy Principles in the Privacy Act as well as other applicable laws and codes affecting your personal information. Its staff is trained to respect your privacy in accordance with our standards, policies and procedures.
This Privacy Policy outlines how YBC manages your personal information. It also describes generally the sorts of personal information held and for what purposes, and how that information is collected, held, used and disclosed. YBC’s Privacy Policy applies to all its dealings with you.
1. Collection of personal information.
YBC will only collect personal information that is necessary and incidental to YBC’s activities.
When YBC collects personal information directly from an individual (for example if a student enrols in a course), it will take reasonable steps at or before the time of collection to ensure that:

the individual is aware of certain matters, such as the purposes for which YBC is collecting the information;

the individual is aware of the organisations (or types of organisations) to which YBC would normally disclose information of that kind; and

the individual is able to access the information.

While YBC generally collects personal information directly from the relevant individual, in some cases we may collect it from a third party, such as a contractor. Where YBC collects information about an individual from a third party (for example if a student authorises a parent or partner to register for them on their behalf), YBC will still take reasonable steps to ensure that the individual is made aware of the details set out above.
The information collected may include your name, postal or email address, employment details, tax file number, educational information or other information the organisation considers necessary.
YBC will, if it is reasonable or practicable to do so, collect your personal information from you. This may happen when you fill out an enrolment application or an administrative form (eg a change of address form) or when you give us personal information over the telephone or counter.
YBC collects personal information from staff, students, prospective students, past students, employers, RTOs and external contractors. Information is collected in enrolment forms, correspondence, and training delivery and assessment.
This includes:

course results and other information related to past courses.

2. Use of information and primary purposes of collection.
The main functions of YBC are to provide training and assessment services, together with ancillary services, which may support students and staff in their study or work. Some information needs to be collected by YBC as the Government requires the information for statistical purposes.
If you are acquiring or have acquired a service from Youngs Business College, it will collect and hold your personal information for the purposes of:

providing you with the relevant service eg training and assessment

managing and administering service.

3. Examples of purposes for which personal information is collected.
The primary purposes for which information is collected is:

maintenance of student records and results

communication with previous, current and prospective students in relation to YBC activities

maintenance of records of external parties

advancement of the YBC strategy in relation to education, research and training.

4. Use of personal information for secondary purposes.
YBC has a duty to maintain the confidentiality of personal information. To the extent required by the privacy laws, YBC will only use or disclose personal information for a secondary purpose other than the primary purpose for which it was originally collected where:

the secondary purpose is related to the primary purpose (or is directly related, in the case of sensitive information or health information), and a person would reasonably expect YBC to use or disclose the personal information for that secondary purpose; or

a person has consented to the use or disclosure of their personal information for the secondary purpose; or

·
|
the use or disclosure is required or authorised by or under law; or
|
|
·
|
the use is otherwise permitted by privacy laws.

5. Disclosure of personal information to staff.
YBC will disclose personal information that it collects to staff that require access to undertake YBC activities. YBC staff will only be provided with access to personal information where it is necessary to carry out their responsibilities.
If a staff member collects, uses, discloses or handles personal information on YBC’s behalf, the staff member must meet the relevant requirements of the Privacy Act. Staff members must only collect, handle, use, disclose and store the information for the agreed purposes only.
6. How does YBC use this information and to whom is it disclosed?
YBC does not and will not disclose personal information that you provide, such as your name, address, e-mail address, telephone, number, etc., to any outside parties, without your consent.
YBC will not disclose personal information to other third parties without the consent of the individual, except where the disclosure is authorised under privacy laws.
YBC will disclose personal information to a third party on request of an individual, where it receives a written authorisation (signed) by the individual to be released for a specific purpose.
7. Where and how does YBC store personal information?
The personal information collected is received as emails or written material and is then stored electronically or in our filing system. Personal information is stored only at our principal place of business here in Victoria. YBC will take all reasonable steps to protect the personal information held from misuse and loss, and from unauthorised access, modification or disclosure. This will include ensuring that all electronic systems are protected through electronic passwords and that these are stored securely.
8. Does YBC send personal information outside Australia?
Your personal information will only be supplied to a third party overseas with your approval.
9. How can you find out what personal information YBC hold about you and correct it if necessary?
If you want to know what personal information YBC currently hold about you, please contact the YBC Training Manager.
10. Government identifiers.
Except to the extent permitted by the privacy laws, YBC will not use Commonwealth or State Government identifiers as its own identifier nor will it disclose such identifiers to anyone else.
YBC will only assign identification numbers to individuals if the assignment of identifiers is reasonably necessary to enable it to carry out its functions efficiently. For example, student identification numbers are necessary to enable YBC to carry out its functions.

Changes will be made to our Privacy Policy as required.
